Email Templates on Mac: Stop Retyping, Start Expanding

Create text snippets for every email you send more than once. TypeSnap works in Gmail, Outlook, Apple Mail, and every other Mac email app.

Who this is for

Everyone. If you use email — and you do — you repeat yourself. This page is for the general case: any professional who sends the same kinds of emails regularly and wants to stop typing them from scratch every time.

The problem

Think about the emails you sent this week. How many of them were truly unique? For most professionals, the answer is surprisingly few. The structure, tone, and even specific phrases repeat across messages:

  • Introductions: “Hi, I’m {{name}} and I work at {{company}}…”
  • Declines: “Thanks for thinking of me, but I’m not able to…”
  • Status checks: “Just following up on…”
  • Meeting requests: “Would you have time for a quick call?”
  • Thank-yous: “Thanks for taking the time to…”
  • Out-of-office: “I’m currently out of the office…”

You’re not copy-pasting these from a template document. You’re retyping them — or close enough — every single time. It takes 30 seconds here, a minute there. Across a week of email, it adds up to hours of typing text you’ve already composed in your head.

Why email-specific template tools fall short

Gmail has templates. Outlook has Quick Parts. Apple Mail has… nothing, really. But even where built-in templates exist, they share the same limitations:

  1. They only work in one app. Your Gmail templates don’t help when you’re in Outlook. Your Outlook Quick Parts don’t work in a browser.
  2. They’re clunky to access. Opening a template picker, selecting the right one, and inserting it is slower than it should be.
  3. They don’t support fill-in fields. You insert the template and then manually find-and-replace the parts that change. That’s not much better than typing.

How TypeSnap solves it

TypeSnap works in every email app because it works at the macOS level. Gmail in Chrome, Outlook, Apple Mail, Superhuman, Hey, Fastmail — any app where you can type, TypeSnap can expand.

Type ;em-intro in any email composition window and your introduction paragraph appears. Type ;em-ooo and your out-of-office reply is ready. No template picker, no menu navigation. Just type and go.

Fill-in fields handle the parts that change. Your meeting request template prompts for the topic and preferred time. Your introduction template prompts for what you want to highlight about yourself. You fill in the specifics; TypeSnap handles the structure.

Everything stays on your Mac. No cloud account, no syncing, no login. TypeSnap stores your snippets locally in ~/Library/Application Support/TypeSnap/. It works offline, on a plane, on a spotty coffee shop connection — anywhere your Mac goes.

Snippet examples

Here’s a starter set for professional email. Each trigger begins with ;em- to keep email snippets grouped.

Trigger Label Expands to
;em-intro Self introduction “Hi {{input:Name}}, I’m Aaron — I build TypeSnap, a text expansion app for Mac. I’m reaching out because {{input:reason}}.”
;em-decline Polite decline “Thanks so much for thinking of me — I really appreciate it. Unfortunately, I’m not able to take this on right now. I hope we can find another opportunity to work together.”
;em-ooo Out of office “Thanks for your email. I’m currently out of the office and will return on {{input:return date}}. For urgent matters, please contact {{input:backup contact}}. I’ll respond to your message when I’m back.”
;em-status Status check “Hi {{input:Name}}, just checking in on the status of {{input:topic}}. No rush — just want to make sure it’s still on track. Let me know if there’s anything you need from my end.”
;em-thanks Thank you “Hi {{input:Name}}, thanks for taking the time to {{input:what they did}}. I really appreciate it and wanted to make sure you knew. Looking forward to {{input:next step}}.”

These five cover the most common professional email patterns. From there, you’ll build out snippets for your specific work — project updates, client communications, vendor responses, whatever you find yourself retyping.

The compound effect

Saving 30 seconds on one email doesn’t feel like much. But most professionals send 30 to 50 emails per day. If even half of those use a snippet, and each snippet saves 30 seconds, that’s 7 to 12 minutes per day. Over a year, that’s 30 to 50 hours.

More importantly, your email gets more consistent. Your polite declines are always graceful. Your follow-ups are always professional. Your introductions always hit the right notes. You’re not writing quality email some of the time — you’re writing quality email all of the time, because the quality is baked into the template.
